How BoardLogiQ works

Three decisions at the center of the product.

The packet is live, not a PDF.

Board members read the agenda rendered from the record, with attachments opened in place. When a document is revised, everyone sees the new version and what changed. Nobody reads last Thursday's copy.

Visibility follows the law.

Every item carries its lifecycle stage, session type and any statutory basis for withholding. Who can see it is worked out from those facts, never set by hand, and the rules fail closed.

The public portal can't leak.

Your portal reads from a separate store that only receives what the clerk publishes. Drafts and executive session material have no path to it. Publishing is deliberate, role-gated and logged.

New York law, built in

New York's meeting rules are part of the product.

Deadlines, thresholds and warnings come from a versioned rule library. Each flag names its rule and citation. Nothing stops the clerk from acting: an override is recorded with a written reason, and a report run years from now on this year's meeting uses this year's rules.

Write it as an outline or as the document itself.

Switch between outline and document mode at any time. Templates cover regular, special and organizational meetings, public hearings and consent agendas.

Items are durable: an item tabled in October carries its history into November. Attachment visibility is worked out from the item's session type, so an executive session memo never reaches the public packet. Staff submit items by email; the clerk reviews them before they reach the agenda.

Deadlines counted from the meeting, not from memory.

When you schedule a meeting, BoardLogiQ works out the notice and posting deadlines and keeps them on screen until they're met. Posting is a single, logged action that copies only what is public to your portal.

Subscribers are emailed the moment an agenda posts. A committee meeting attended by a quorum of the full board is flagged as needing public notice.
03 · Meet

Run the meeting from one screen.

The clerk works from a control room with the agenda, the current motion and the live log. A presenter view mirrors the current item to the room display and the livestream.

Try the roll call. The threshold counts the whole board, including the absent member. Board members can vote from their iPads if your {{ ex.orgType }} turns that on. The clerk calls the roll by default. Entering executive session pauses the public log and the livestream overlay.

Minutes built from what happened.

Motions, movers, tallies and attendance come straight from the meeting record, so they're right before anyone edits a word. The clerk accepts each section before the minutes go to the board.

The two-week deadline for minutes is tracked from the meeting date. After a resolution carries, the documents it authorizes move to the signing queue. Nothing can be signed before the vote. Adopting a policy updates the policy manual and links the new version to the vote. See policy tracking →

Thresholds count the whole board. Abstentions are recorded as abstentions, and a motion that falls short is recorded as not adopted.

Your records stay yours, and stay protected.

BoardLogiQ holds executive session material, personnel records and, for school districts, student information. Each organization's records are kept apart from every other's, encrypted with keys dedicated to it, and processed only in US data centers.

Education Law §2-d · for school districts

Ready for your data privacy review.

We sign your data privacy agreement and supply the Parents' Bill of Rights supplemental information for you to post on your website. Every commitment on this list is written into the agreement you sign.

Protected data means personally identifiable student information and teacher or principal APPR data, as Education Law §2-d and 8 NYCRR Part 121 define it. BoardLogiQ doesn't need protected data to run, and your district decides what goes into it.

Used only to provide BoardLogiQ to your district. Never sold, and never used for marketing.
Never used to develop, train or improve any product or AI model, ours or anyone else's.
Encrypted in transit and at rest, with keys dedicated to your district.
Seen only by staff who need it, trained on student privacy law before they get access and every year after.
A breach of protected data reported to you within seven calendar days of discovery, as Part 121 requires.
Challenges to the accuracy of student data routed to your data protection officer.
Subcontractors bound by the same obligations, with written notice to you before a new one handles protected data.
Destroyed 45 days after the contract ends, or sooner on your instruction, with a certificate of destruction.

How your records are protected.

Kept apart from everyone else

Isolation is enforced in the database on every request. Your web address tells BoardLogiQ which organization you mean; only your sign-in decides what you can see.

Keys that belong to you

Your documents are encrypted with keys dedicated to your organization. Destroying those keys makes every copy unreadable, backups included.

A portal with only public records

Your public portal reads from a separate store that receives only what the clerk publishes. Drafts and executive session material have no path to it.

Executive session access by name

Executive session material is visible only to people granted access by name, never to a role as a whole.

An audit log that can't be rewritten

Every access and change is recorded with who, when and what. Daily digests of the log go to write-once storage for ten years, so its integrity can be proven later.

Strong sign-in

Sign in with Microsoft or Google, or with a passkey that unlocks with a device PIN, fingerprint or security key. A password alone is never accepted, and face recognition is never required.

Access removed at once

Permissions are checked on every request, so removing someone's access takes effect on their next click.

Private notes stay private

Board members' annotations have no administrative view. No one at your organization or at BidLogiQ can read them.

Files checked before they open

Uploaded files are scanned for malware before anyone can open or publish them.

AI and your data

AI features are off until you turn them on. While they're off, no request is sent to a model. Every output is a draft that a staff member reviews before it's used. The model provider doesn't keep your data or train on it. Executive session material is left out unless you record a decision to include it.

If something goes wrong

Any cybersecurity incident affecting your data is reported to you within 24 hours of discovery, so you can meet your own 72-hour reporting duty to the State. A breach of protected student data is reported within seven calendar days at most. If we receive a subpoena or other legal demand for your records, we tell you before responding, unless the law prohibits it. Where an incident is our fault, we cover your reasonable costs of notification.
If you leave

Your records, after a contract ends.

Export your complete records at any time, in machine-readable formats, at no charge and without asking us first. If you leave, your export stays available for twelve months.

Day 0

Read-only, with a full export

Your account becomes read-only, and a complete export, including protected data, is ready to download.

Day 45

Protected data destroyed

Student and educator data protected under §2-d is destroyed. Later exports contain your board records without it, and we remind you before this date.

Day 365

Everything else destroyed

Remaining records are deleted along with the keys that protected them, so no copy can be recovered. You receive a certificate of destruction.

Afterward, we keep only a record that your data existed, who authorized its destruction and when, with none of its content. A litigation hold pauses every clock, and you can direct earlier deletion of anything at any time.

How it's handled

Nothing is guessed. If a record doesn't say who made a motion, the mover is left blank. Private files stay private. Files from an export are held back until your clerk classifies them. Every file is accounted for. Anything that couldn't be read is listed, so you know exactly what came across. Imported records are labelled. Questions clerks ask.

Can we keep using our current system until we switch?Yes. Your board keeps meeting as usual, and meetings held before the switch date are included in the import.
Who does the import?We do. Your clerk's part is the review: opening a sample of meetings from each year and approving the batch.
What if the import isn't right?Nothing is final until your clerk approves it. A batch that needs fixing is set aside and run again, and your record is untouched.
How long does it take?It depends on the size of your archive and your meeting calendar. We set the dates with you on the first planning call.
Will our portal address change later?Your portal gets a permanent address, or can use your own domain, such as meetings.cedarhollow.k12.ny.us. Once it's in your notices, it stays the same.
What does switching cost?The import, setup and training are part of your quote. Contact us for pricing for your district or municipality.

Awards arrive with their record

When a BidLogiQ solicitation is awarded, the recommendation, bid tabulation and GML §103 checks come across as an agenda item.

Resolutions from your templates

Resolution text is drafted from the award record into your district's own template, for the clerk to review before posting.
